Is Your Small Business Technology In Place?

Do you have the right technology in place to take your business to the next level?

Whether you sell beauty supplies or manufacture widgets, a carefully executed technology plan can help you build and grow your online presence and ensure that your brand is easily recognized. Social media marketing can help local and global customers find you. 

Today’s technology solutions are more affordable than ever so leveraging them to your best advantage can help your profits soar.Where to start? 

The first step is to ensure that your technology plan is consistent with your overall business strategy. Have you defined your current objectives? Do you want to increase visibility? Do you have a website? How to people find you? Are you depending too heavily on very expensive Yellow Page advertising and ignoring the Internet?Perhaps it is time to streamline your accounting processes and reduce administrative costs with the right software.  Whatever your overall objectives are, investments in technology should ultimately make it easier for customers to find you and do business with you. Do you have an online store, for instance? Is it easy for a customer to order online, pay for their product and be assured that their order will be delivered promptly? 

A common checklist of technology-related needs for small businesses might include: 

  • Financial and bookkeeping software such as Quicken.
  • Website. If your desire is to let people know how to locate you, a simple brochure website will work well. If you are selling products or services online, you will need an e-commerce or WordPress website, depending on your needs.
    • Domain Name. I use and recommend GoDaddy or DomainsPricedRight for domain name purchases, but NOT for hosting. Be sure to purchase most extensions of your domain name such as dot com, dot net, dot biz, etc., to ensure that your name and brand is protected. Each domain name will cost about $11 annually.
    • Hosting for your website. I use and recommend HostGator for hosting. Depending on the plan you need, your cost range from $4.95 to $12.95 per month.
  • Shopping Cart. 1ShoppingCart incorporates all of the tools your business needs to market and sell online in a single, easy-to-use web-based solution. If you need an affiliate program, you can build that in your shopping cart. The basic plan (I don’t recommend anything below this plan) will cost $59 per month and the professional plan, which includes affiliate marketing, is $99.00 per month. You can also make application here for a payment gateway through Authorize.net or PowerPay so that you can accept credit card payments on your website.
  • PayPal account for accepting payments if you don’t currently have a payment gateway. This is free and you will only pay a fee when a payment is made. You will be able to use your PayPal account in place of a payment gateway if you prefer.
  • Newsletter or email marketing software. Two excellent tools for this are Aweber and Constant Contact.
  • Social Media Profiles. KnowEm Username Check allows you to check for the use of your brand, product, personal name or username instantly on over 400 popular and emerging social media websites. Grab your name and secure your brand before someone else does. They offer free and premium plans.

    • Facebook Fan page for your business
    • Twitter Account

Belief Helps Us Overcome Discouragement

Discouragement is not a terminal disease. It is an ailment that we have all had at one time or another but it can be healed. Whenever I get discouraged I reconnect spiritually by reading some of my favorite biblical passages as well as using prayer. Some of the great leaders of ancient Israel understood that there were at least four major reasons for discouragement.

First, fatigue sets in and you get tired. Human beings wear out and to go beyond what you can physically do without collapsing you have to use stimulants, which can open an unwanted door to addiction. The real cure is rest, nutrition, and proper exercise.  That old idiom “You cannot burn the candle at both ends” took root in our lexicon because it is absolutely true. So if you’re discouraged, the cure may be simple.  Eat right, regularly take quality nutritional supplements, get a good nights rest, develop your spiritual life, and take an occasional vacation even if it’s only an hour away from home. A change of scenery can work wonders for the tired soul.

Second, don’t let frustration take over your emotional wellbeing.  I become frustrated when I have a lot of little tasks that I let pile up over time which invariably pushes me into a state of overwhelment. The answer I discovered was to schedule overdue tasks on a monthly basis (1 or 2) and determine to both begin and complete them. Repeat this each month and the result is you ultimately release the mental pressure by scheduling and finishing things that are hanging around in the back of your mind. These are distractions you really don’t need.

Third, failure is not only an option; it may be inevitable particularly if you haven’t set a proper timeline or planned correctly.  Just because you set a goal and it didn’t come to fruition doesn’t mean you failed.  You must always look at goals in the context of what you wanted, when you wanted it, how you were going to accomplish it, and ask yourself if it was a bit over reaching to begin with.  For example are you making $35,000 a year with a goal of the next year making $500,000?  Unless something miraculous is going on or you win the lottery the goal is probably irrational to your subconscious mind.  In other words you don’t believe it deep down.  A more realistic goal would be to double or even triple your salary.  Therefore you are going from $35k to $70 or $100k, which is a completely rational outcome and is within the realm of possibility for your subconscious. Of course this assumes proper planning and execution.

Lastly, when you give in to fear discouragement sets in.  One of my favorite biblical passages is in Isaiah 41

 6    each helps the other and says to his brother, “Be strong!”

 7    The craftsman encourages the goldsmith,

       and he who smoothes with the hammer

       spurs on him who strikes the anvil.

       He says of the welding, “It is good.”

The people most affected by fear are those who hang around negative people. If you’re going to control negative thoughts in your life, you’ve got to get away from negative people as much as you can.  Notice in Isaiah the craftsman encourages the goldsmith. 

Look at the six people closest to you and you are looking at your future.  Are they broke, busted, and disgusted? Are they smoking, drinking, and “drugging”?  If the answer is yes and you are trying to change your life and move in a positive direction can you really follow the crowd and do well?  No. Let’s face it; water always seeks its own level!

Maybe your discouragement comes from fear. You keep telling yourself “I can’t handle it”. This will undoubtedly become a self-fulfilling prophecy.  Maybe you are afraid of being unpopular as a child? Fear and doubt will destroy your life if you let it. The way to fight it is by spending time with positive people, listening to positive audios, reading good books, and strengthening your spiritual life. Prayer and meditation hasn’t failed me yet. Give it a try. I promise you will see immediate and positive results.

Productivity Tool Kit For Entrepreneurs

If you are online as a business person or an entrepreneur I thought it would be interesting to come up with a must have productivity tool kit (there’s option or two).  The following collection are tool that I utilize to keep my productivity high.

Email is critical in today’s business world, and a smart, intuitive and easy-to-access tool is key.  Microsoft Outlook is used by most businesses and in some way may be integrated with your iphone or Blackberry.  Google and Yahoo offer free email services (Outlook has to be purchased) that are easily accessible from your desktop, laptop or handheld device. Even though the most prolific browser is Internet Explorer from Microsoft I believe that Firefox is the only current choice for the truly dynamic user.  It is Open Source and has dramatically more functionality currently with more being added daily by volunteers.

Those of you who follow me understand that I’m a proponent of online networking for your professional life as well as personal.  The best avenues in my opinion are LinkedIn and Twitter. I’m leaving Facebook out on purpose and you will understand why in a future article. A  wiki is a collection of web pages designed to enable anyone who accesses it to contribute or modify content, using a simplified markup language. I spend increasingly more time in Wikipedia as it is a great starting point for many types of research.

Good presentations, intelligent book marking, and the ability find information on your computer are self explanatory.  The proper tools to make it happen make your life easier and more productive. Don’t care for my choices?  Wonderful!  Share yours and help the rest of us.  Feedback is welcome.

EMAIL
Microsoft Outlook.  It isn’t the only email interface but in the PC world it’s the best desktop client to use.
gMail (or Google Mail as it is known in the UK) is one of the many services offered by Google.  Totally web-based email service with megabytes of storage space for archiving mail threads.  Also, it can’t be beat for its integrated Google Calendar function.

Yahoo Mail is a web-based email system from Yahoo with unlimited storage. The new version of yahoo mail is great. Email in general is an indispensable for business, education, and increasingly personal life. The integrated feed reader is an excellent tool for business and online activities such as eLearning.  Also don’t forget the great Instant Messaging.

INTERNET BROWSERS
Firefox is an open source browser  and is now available in its third version, Firefox 3.  There are also thousands of add-ons that turbo charge its functionality.  One feature I really love if your browser crashes or you close it prematurely you have the option of restoring the last session.  Wow!
ONLINE NETWORKING
Twitter is your mini blog.  It only allows only 140 characters but when you “get it”, like I did, you will love being able to keeps dozens of people and vice a versa.  Oh yeah and you can go mobile with it. is for staying in touch and keeping up with friends no matter where you are or what you’re doing. You can have more than one if you want one or more for personal and business reasons. There is a widget you can use to let others know you twitter which can be placed on your blogs and other online networking communities such as MyBlogLog.
LinkedIn is a social network aimed at the professional community and my favorite tool for electronic online networking. You can manage your account online, and add a widget to identify yourself as a member of the community on your web or blog page.  It is an excellent way to keep up with other professionals without pesky phone calls and emails.
ONLINE RESEARCH
Wikipedia is the largest free multi-national encyclopedia in the world. Volunteers around the world have authored it collaboratively, and the vast majority of its articles can be edited by anyone with access to the Internet.
PRESENTATIONS

PowerPoint, presentation software is part of the Microsoft Office suite.  Of course you knew that but experiment with its features and it will explode in its usefulness.  Embed video, audio, photos, etc.  I even use it as a whiteboard.

WEB SEARCH

Google Search – use it to search the internet.  In combination with Firefox it’s a phenomenal tool.  Try it and see.

SPECIAL TOOLS

del.icio.us  is a free social bookmarking tool.  It allows you to store your bookmarks online, tag them and share them with your colleagues and students.  Easy to use to search for other bookmarked resources and speeds up your prep time to do research for presentations and writings.

Notepad is simple text editor – useful for writing HTML or other code for techies.  For the rest of us a great way to write your blog offline or other simple stuff when you don’t need MS Word.

Copernic Desktop Search is a search engine for your PC.  Easily search your entire hard drive in less than a second to pinpoint the right file, email, music or picture.  Ever try to find a file on a computer you have been busily using for awhile?  I have.  Use this and put away the aspirin for the headache.
